Vestry Meeting Minutes

September 21, 2009

In attendance:  Lori Burry, Chris Cassidy, Jennifer Dean, Victor Fredette, Barbara Krueger, Chris McCarthy, Annie Mellet, Duane Wilcox and Michelle Wills.

Excused:  Mother Ginny Ogden, Deacon Harvey Huth and Kevin Mahony.

Opening Prayer and Scripture Reflection:  Mark 9:38-48

Aug. 17, 2009 minutes were reviewed.  Jen D. moved and Victor F. seconded the motion to accept the minutes; all present were in favor.

The Big Picture:  2007 and 2008 Parochial Reports will be submitted Friday, Sept. 25 on paper. [not on-line]  Job descriptions are not completed.  Accommodations for vacations and absences of staff need to be made.  Newsletter deadline is always the 20th of the month. 

Ministry Team update:  We need more volunteers for coffee hour and breakfast.

Buildings & Grounds:  Rectory cleanup Sept. 26, 9:00 - 1:00 p.m.  We need to hire professionals to kill poison ivy in the backyard of the rectory.  Annie M moved and Lori B seconded the motion to hire a professional for $500 or less to kill and remove the poison ivy at the rectory.  All present were in favor; Chris C. will make contact for this.  The basement of the old portion of the church needs to be dry-locked, primed and painted.  Mtr. Ginny has an estimate.  A check in the amount of  $2,733.48 is needed for the deposit to repair the roofs.  These are over the single doors off the hallway leading from the Elsmere Ave side of the building to the parking lot side.  Therrien Constr. will be doing the work.  Weed & feed to the lawn needs to be done fall & spring.  Crab grass suppressor in early spring.  Bob Woodside will be doing the snowplowing again this winter. 

Finance:  Aug. 2009 financial reports were distributed and reviewed.  Again, costs have been kept in check and we are in the black year to date.  The capital campaign report was distributed and reviewed.  Cash on hand monies in the undesignated category will pay the roof repair expenses.  The loan extension letter for the balance on the balloon payment was signed.  M&T will be sending information on the payment schedule.  Stewardship campaign will again follow the Evergreen model.

Other Business:  Mark your calendars: Vestry retreat Oct. 23-24; 11/22/09 Bishop Love visitation.  He will meet with the vestry at that time.  There will be one service that day.  This needs to go on our website.

Diane Stevens, Cliff & Loraine Thurber, Michelle W. and Jen D. attended a meeting of the Order of St. Luke on Sept. 20, 2009.  The meeting was in Clifton Park, NY.  The Order of S.L. is a bible study group with a focus on the healing ministries.  Jen D. also went to Christ Church in Schenectady; it was their kickoff Sunday.  They honored the Mohawk Valley ambulance professionals with mugs saying “Christ Church appreciates the M.V. Rescue Squad”.

An e-pledging brochure was distributed, we will review and discuss at our next meeting.

The next meeting is October 19, 2009 at 7:00 p.m.
