HOW TO PROPOSE A REUNION CITY



As relatively small as our reunions are, it has become impossible to plan them based on locations proposed and voted on while at the preceding year's reunion.

In order to avoid this problem, effective with the the 2004 reunion, no proposals to be voted on at a reunion will be accepted from the floor. Instead, anyone who wants to propose a reunion site will have to gather some information about the locality and provide it to the committee to be checked out before we get to the reunion where the members will vote on it.

To assist members in submitting the proposals, we have developed a couple of forms for someone proposing a site to fill in and mail in to the committee for consideration. So, if you want to propose a site for a future reunion, just follow these simple steps.....

  1. Check The Zone Chart. to see if the place you are proposing is in the geographic area for the year you're looking at.
  2. Download the Reunion Site Proposal form (Click here).
  3. Print the form while it is on your screen.
  4. Download the Reunion Hotel Contact Summary Form (Click here).
  5. Print the form while it is on your screen.
  6. Gather the information about the proposed site (city/locality) and enter it on the Site Proposal form.
    Most places have a Convention And Visitors Bureau. It is a good idea to contact them first. They can send you tons of helpful info.
  7. Contact at least three hotels/motels/resorts where we can hold the reunion, gather the information required on the Reunion Hotel Contact Summary form and enter it on a copy of the form for EACH hotel contacted.

  9. The deadline for submittals is 45 days prior to check in day at the reunion where the proposed site will be presented to the membership (i.e,-proposals for the 2004 reunion are due 45 days prior to the opening day of the 2003 reunion in Albuquerque).

That's it. Send in your proposal and the committee will check it out. If it looks to them that it will work for us, it will automatically be included among the sites voted on. If there are any questions, someone from the committee will contact you.
