We use a formal Music Plan for each Mass.

Prior to rehearsal, we study the readings and music planning aids from a couple of sources.  We typically prepare a Music Plan consisting of selections for the Mass setting for common parts of the Mass, a responsorial Psalm and eight hymns.  We prepare this Music Plan using home-grown software.
 
This mass plan is posted on the "Current Music Plans" page of this web site no later than the Monday before our Tuesday rehearsal, to allow choir members a chance to prepare.   Check that page for examples of such Music Plans.
 
The lineup may change based decisions made at rehearsal.
 
During the Sunday Mass, we listen carefully to the homily and choose five of the prepared eight hymns which mostly closely support the homily's theme. We sometimes substitute another hymn from our standing repertory, if that's a better fit.
 
We use the same home-grown software to keep records of what we have actually played each week.
