GENERAL:

Contributions to the Herndon Optimist Sports Programs is NOT A CHARITABLE CONTIBUTION! While we are anticipating a reclassification,
it has not happened yet. When it does, the club will issue new guidelines for sponsorships and fundraisers. If you have solicited funds as a Charitable
Contribution from a company or individual you need to identify them to me, so we can issue a letter of apology and a possible refund.
If you are selling something (shirts, hats etc...) to raise money for your program you must charge Virginia sales tax. The Optimist Club is not a
tax-exempt organization. I will ask Bruce Napoli to publish some guidelines for all to follow.

Fields:
1) Field Use - Please make sure your coaches have copies of your field permits.
2) Field Conflicts (Schools & County Parks) - If another organization or individuals are using your assigned field please follow the following guide lines:
a. Have a copy of the permit with you
b. Ask to speak to the coach or adult in charge
c. Introduce yourself as an Optimist Coach
d. Politely Explain the problem and show the permit
e. Ask the group or individual to move
f. If possible get the name of the group and the adult in charge If the group or individuals does not vacate the assigned space and they are
interfering with you game or practice do not become confrontational. At that point, you have options to contact either the Fairfax School Security
(if your field is on school property) or the Fairfax County Police. Because the FFCP can intervene in both Park and School field, I recommend you call
them.

!) Remember the safety of your kids takes president over everything else and you are they to set an example.

3) Report any problems to me immediately.
4) Make sure your coaches know what times their permit cover.

Athletic Field Inclement Weather Cancellation Hotline
The number to call for field information 703-324-5264, this is for all FF Schools and Park fields. Please use it as a guideline for all fields that we
use. If the county catches us using a field that has been closed we can be fined and or lose our permits. Program commissioners can close a field but
cannot reopen a field the county has closed.
