Debriefing of FOSD Beede Scoreboard Project 10/30/07 by Li-Jen Lin Gerber
While Beede Center was poised to open for operation in February, 2006, the Board of
the Friends of CCHS Swimming and Diving (FOSD) discussed the need of getting a scoreboard
and touch pad system for swimming and diving meets at the Beede Center.
The project picked up it is momentum this April, when the new board was initiated.
Sherry Cabot and Catherine Greenwald were appointed as the co-chairs of the
Scoreboard System Fundraising Committee. The committee met in May and June to work on a
fundraising campaign letter to the general public and the strategy of raising fund for this
project while the FOSD board also met separately to clear the road blocks for this fundraising
effort.
The first batch of letters was sent to the CCHS Swim and Dive team families by volunteer
assistant coach Dr. Albert Lesneski in early July. Dr. Lesneski has negotiated a basic
contract with the Colorado Time Systems (CTS), and has written a donation request letter
to the team families. Cynthia Ellis and Julia Lavely used Dr. Lesneski's letter
as a base and finalized the scoreboard fund raising campaign letter to the general public.
The donation process was facilitated by CC Pools and was coordinated by CC Pools'
Kate Carr. This greatly sped up the installation schedule since the non-profit status of
FOSD was reinstated by IRS only in this September.
About 800 letters were sent to friends of the fundraising committee and the local
aquatic clubs in July. With the help of a generous matching fund, we had raised
over $30,000 by the end of August according to FOSD treasurer, Celia Joseph, and
were able to start the process of purchasing the scoreboard system. The basic purchase
contract included 10 line scoreboard, 10 touch pads, a free standing start system,
5 diving judging consoles, a CTS system-6 command console, and a signal cable and
connection leads.
Throughout the month of September, FOSD worked closely with the CTS, Beede Center,
and the Town of Concord to finalize the design and the purchase contract while the letter
campaign continuously brought in donations. The final contract was reached on
September 28, 2007 which included the installation of 16 in-deck quick connections.
FOSD also hired Hughson Electric Company of Billerica, to assist with the installation
of the scoreboard system. All of these expenses were paid for by the generous and
gracious donations of Concord area community.
Co-chair, Sherry Cabot, organized two Tag Sales which brought in $1,500 while
Catherine Greenwald organized a sports psychology talk and a Concord Master Meet which
also brought in $1,500. All 4 fundraising events received strong support and assistance from
the coaches and team members of the CCHS Swim and Dive team, and the
Beede staff. These proceeds will go into the scoreboard maintenance fund which will
be donated to the Town of Concord along with the Scoreboard System installed
at the Beede Center.
Once the purchasing contract was signed, the first shipment of the scoreboard system
left CTS the next business day and the installation schedule was set for October 23
through October 25. Both CTS and Hughson Electric worked smoothly and precisely and
the installation was finished on schedule on October 25. This scoreboard system
will be enjoyed by teams having meets at Beede Center for years to come.
This project has been accomplished through the generous contributions of private donors.
The support of these donors is much appreciated. We also very much appreciate the help from
CC Pools and Kate Carr in facilitating the donation process. We also appreciate
greatly the assistance and advice from Beede Aquatic Director Karen Houghton, Beede
Aquatic Supervisor Jill Grosso, and the Concord Recreation Department Supervisor
Danner Destephano. We'd also like to thank the CCHS Swim and Dive team and the
coaches, Jerry Moss, Matt Goldberg, Tracey Bird (diving), Bert
Lesneski and Kim Donavon for their strong support of this project.
The success of this FOSD project is testimony to the strength of our community.

The Scoreboard Letter to the Gerneral Public:
Greetings to all enthusiasts who love swimming and diving!
We are a group of Concord and Carlisle parents and coaches asking for your financial support
to help purchase an electronic scoreboard to serve the competitive teams that use the superb
pool facility at the Beede Swim & Fitness Center in Concord. The teams include the
Concord-Carlisle High School Patriots Swim and Dive Team, the Concord Recreation Otters, and
the Beede Center's Masters Swim Program.
Our goal is to enhance the Beede pool with a new, world-class scoreboard and touch-pad
timing system. This will be an 8-lane LED that displays Lane-Place-Time for all lanes
simultaneously and provides accurate time to within one-hundredth of a second. The
scoreboard will also display diving information, including degree of difficulty,
judges' scores, and more.
Our goal is to raise $45,000 by the start of winter sports season
This includes $31,000 for the cost of the complete system with installation. The
additional $14,000 will be set aside in a maintenance fund to ensure that repair or
replacement costs do not become a burden to the Town of Concord or Concord-Carlisle
High School.

our goal sooner!
By making your donation early, we will be able to purchase and have the scoreboard
in place in early fall, well before the start of the winter sports season.
This system will be used and appreciated by our community for many years to come.
It will help our athletes improve personal performance and will greatly improve
spectators' ability to track results and enjoy the meets!
C. C. Pools, Inc., the Concord-based 501(c)(3) nonprofit that built the
Beede Center, has graciously offered to receive all of the scoreboard campaign
contributions, thereby ensuring that all donations are 100% tax deductible. Once
funds are collected, C.C. Pools will purchase the scoreboard system and present it as
a gift to the Town of Concord.
Friends of CCHS Swimming and Diving (FOSD) IRS has reinstated our 501(c)(3)
nonprofit status on September 19, 2007. Donations to Friends of CCHS Swimming and Diving
are now 100% tax deductible. We are in the process of purchasing a scoreboard system
(in September, 2007) from the Colorado Time Systems in conjunction with CC Pools.
The scoreboard fundraising is now moving into fulfilling the
maintenance fund stage. Thank you for your support before, and please continuously
support our effort in the maintence fund portion of this campaign.

Update on Scoreboard System (10/9/07):
We have purchased the Scoreboard System on September, 28, 2007. Colorado Time Systems has given us a very generous
contract. The total cost is $32,000.00 with 16 in-deck quick connections installed. Additional installation
cost will run up to slightly over $4,000.
All of these contracts are being paid for from the proceeds of
the Letter Campaign of this summer. Thank you very much! The matching fund was also upgraded to $12,000.
Much appreciated! The installation of the system is expected to be done on October 25, 2007. The
scoreboard system will then be donated to the Town of Concord.
We are continue our fundraising effort for the Scoreboard System Maintenance fund. Upon
completion of this maintenance fund, it will be donated to the Town of Concord as well.
